Job Profile Summary:

  • Perform a wide variety of administrative duties to assist the office/unit by answering telephone inquiries, sending and receiving e-mail messages, distributing information, facilitating requests for computers and repairs.
  • Coordinating meetings and appointments, ordering supplies and equipment, contacting vendors for pricing and availability, taking dictation and meeting minutes. Distributing mail, updating manuals, and coordinating travel plan. Screening visitors for entry into secured areas.
  • Performing data entry, maintaining databases and filing systems. Reviewing, analyzing and transcribing reports. Provide the SSIC (Standard Subject Identification Code) and Serial Number for Letters, Memo and statements, and processing paperwork.
  • Review and format Letters and Memos by using the Department of Navy Correspondence Manual. Conducting research, reviewing reports and resolving issues.
  • Perform data entry for time and attendance in MSE/SUPDESK. Provides administrative support by notifying members of meetings, preparing meeting schedules for staff, commissions and committees and maintaining records, minutes and agendas.
  • Setting up and maintaining the conference room, equipment, supplies, functionality and calendar.
  • Manage planning and reporting processes by tracking key department assignments, outlining tasks and deliverables and providing management with solutions and alternatives.
  • Performs related duties by assisting with contract administration, running errands, attending weekly staff meetings and coordinating special projects and executive recruitment activities, and assigned research projects.
  • Perform deliveries and mail and/or materials pickup from various collection point.
  • Coordinate awards recommendation and review for accuracy and completeness.
  • Department automation expert utilizing knowledge of programs and requirements and advising staff on complex document creation.
  • Process DISS/ShVR Ship Check Visit request for NNSY (Norfolk Naval Shipyard) Personnel to obtain access to a Base/Yard through DISS.
  • Validate Naval Messages using the CMP (Common Message Processor). Perform (TOR) Travel Order Request forms for Codes 280/282/283 and 284 personnel.
  • Enter Travel Order Requests into DTS (Defense Travel System). Provide Weekly and Monthly reports for Code 280 and 282.
  • Must be able to work as an individual or part of a team.

Primary Qualifications for this position are:

  • Must have 2 years of professional office experience or an Honorable Discharge from a US Military Branch

Security Requirements:

  • Must have/be able to obtain and maintain a SECRET security clearance.

Physical Requirement:

Extensive time in stationary position

Must be able to observe and report
The person in this position frequently communicates with co-workers, management and customers, which may involve delivering presentations. Must be able to exchange accurate information in these situations
