Description & Requirements

ManTech is seeking a motivated, career and customer-oriented Program Support Coordinator to join our Program Management Office (PMO) Team in the Herndon, VA area.

The PMO Team supports our employees on Department of State (DOS) contracts, primarily providing protective technology services at U.S. embassies and consulates throughout the world. The PMO Team provides oversight for numerous different processes such as travel and deployment management, expense reporting, while ensuring contract compliance. The Program Support Coordinator will report to the PMO Manager.  This position may be required to travel to additional designated work sites (Arlington and Sterling, VA).

Responsibilities include, but are not limited to:

  • Audits travel requests for accuracy, allowable costs, and contract compliance.
  • Works with travel agency to obtain travel quotes and arranges travel itineraries for employees to include domestic and international travel, lodgings, and car rentals based on government allowable costs.
  • Works with finance and accounting department to ensure that travel arrangements remain within approved cost and expense reporting guidelines.
  • Acts as the point of contact for program coordinators for employees deploying on Temporary Duty assignments (TDYs) or permanent Duty assignment to OCONUS locations.
  • Will be responsible for preparing, reviewing, and submitting visa applications and for securing passports with our outside contractors.
  • Will assist employees with pre-deployment requirements to ensure contract compliance.
  • Will manage Synchronized Pre-Deployment and Operation Tracker (SPOT) profiles and obtaining Letters of Authorizations (LOAs).

Minimum Qualifications:

  • Five + years of experience coordinating CONUS and OCONUS deployments (previous experience with the Department of State desired)
  • Strong verbal and written communication skills, organizational, problem solving, and interpersonal skills are highly desired.
  • Ability to perform complex concurrent tasks with imminent deadlines, effectively coordinate multiple resources, and multi-task in a fast-paced environment.
  • Must possess a strong attention to detail and understand prioritizing.
  • Must be proficient with Microsoft Outlook, Word, & Excel. Experience with SharePoint and Project a plus.

Preferred Qualifications:

  • Bachelor’s degree preferred.
  • Preferred experience or working knowledge of visa processing, Synchronized Predeployment & Operational Tracker (SPOT), Common Access Card (CAC), Joint Travel Regulations &/or Federal Travel Regulations (JTR &FTR), multi-level approval processes, & other reporting.

Clearance Requirements:

  • Must possess an active Secret security clearance.

Physical Requirements:

  • Mainly works in an indoor office environment- uses a computer and other office equipment and moves about to access file cabinets, office machinery, etc.
  • Communicates with co-workers, management, and customers, which may involve delivering documents and spreadsheets.  Must be able to exchange accurate information in these situations.
